Fixed Asset Management Software for IT and Facilities Teams: Registry, Custody, Maintenance and Depreciation

Short answer
Fixed asset management software keeps one record per asset — laptops, monitors, machinery, furniture, vehicles — with a tag and serial number, the employee who holds it, its maintenance tickets, warranty and AMC dates, straight-line depreciation, and the result of physical QR audits. Dino Assets Management delivers those workflows across buildings, floors, rooms and branches, white-label and with source code for the agreed scope.
Where the asset spreadsheet fails
An asset spreadsheet answers one question: what did the company buy. It does not answer who has it today, when its warranty ends, what the repair history is, what it is worth on the books this month, or whether it was actually found at the last audit. Each of those questions has an owner — IT, facilities, finance, operations — and each keeps a private copy of the truth. Asset management software gives them one record.
Five records on one asset
- **Registry** — hardware, office equipment, machinery and vehicles logged with unique asset tags, serial numbers, purchase details and location.
- **Custody** — assignment to a named employee, handover condition, return dates and the chain of custody when equipment moves.
- **Maintenance** — service tickets, repair vendors, technician notes and repair costs, so the decision to repair or replace is based on history.
- **Warranty and AMC** — automated alerts 30, 60 and 90 days before a warranty or maintenance contract expires.
- **Valuation** — monthly straight-line depreciation, salvage value and accumulated write-down for the fixed-asset register.
Physical audits with QR codes
The audit is where most asset systems are tested. Dino Assets Management runs scheduled physical audits by scanning QR or barcode tags and auto-reconciling found against missing assets, so the discrepancy list is produced by the scan rather than assembled afterwards. Assets are organised across buildings, floors, rooms and regional branches, which is what makes a branch-by-branch audit possible.
Who uses which part
| Team | Asks | Module |
|---|---|---|
| IT directors and administrators | Who has which laptop, monitor and licence | Registry, custody |
| Facility and operations managers | Which machinery and HVAC units are due for service | Maintenance, warranty and AMC |
| Finance | What is the register worth this month | Depreciation and valuation |
| Internal audit | Does the physical count match the register | QR audits, multi-branch |
The Dino Assets Management product page lists the interfaces included: the asset management web application, admin dashboard, staff portal, REST API and database.
Technology and deployment
The application is a Next.js and React frontend over a Node.js, Prisma and PostgreSQL backend with JWT sessions and role-based route protection, deployed with Docker Compose and Nginx on a VPS or cloud instance the buyer controls. Because the source code is delivered for the agreed scope, an internal team can add fields, reports or integrations later without a vendor ticket.
What is included
Every purchase includes complete source code for the agreed scope, deployment on hosting the buyer controls, basic migration assistance and three months of technical support. Hosting, domain and third-party service fees are billed by those providers. Pricing is quoted on scope rather than published; send the requirement through the contact page and TechDino returns a written quotation after a walkthrough.
Frequently Asked Questions
Does the software calculate depreciation automatically?
Yes. Monthly straight-line depreciation, salvage value and accumulated write-down are calculated per asset for the register.
Can employees see their own assigned assets?
Yes. The staff portal shows an employee's assigned assets and handover records; custody changes are recorded by the administrator.
How are audits performed?
Scheduled physical audits scan QR or barcode tags per location; the system reconciles found and missing assets and produces the discrepancy list.
Is there a limit on the number of assets or branches?
Capacity is set by the buyer's hosting rather than by a licence tier; the application organises assets across any number of buildings, floors, rooms and branches within that capacity.
